Job Description

TheThe evening Branch Coordinator provides excellent customer service in support of our goals for our community music school. The primary responsibility of the evening Branch Coordinator is to oversee general operations of the branch reception area. The reception area is the first point of contact for students, faculty, parents, and community members entering and contacting the music school facility. The evening Branch Coordinator welcomes our guests, provides quality customer service, and facilitates the business needs of the RI Philharmonic Music School. This is a part-time, non-exempt position. 


The ideal evening Branch Coordinator is highly dependable, diplomatic, and a strong communicator with excellent customer service and organization skills. The evening Branch Coordinator is fluent in all programs, familiar with all faculty members and their specializations, and builds connections with all students, families, and members of the Music School community. The evening Branch Coordinator is an integral member of a dynamic and supportive education team and faculty that is dedicated to creating great musical experiences and providing excellent educational programming. We pride ourselves on doing everything possible to ensure student musicians can take advantage of all our school has to offer. 

Work Schedule

Mondays through Thursdays – 4:00 PM – 9:00PM
Fridays – 4:00 - 7:00PM
Additional hours as needed

Primary Responsibilities Include:

  • Provide timely, quality service and an excellent experience to our customers
  • Serves as a branch receptionist during coverage hours – welcomes guests, transfers calls/take messages/answer questions/returns calls, responds to inquiries, etc.
  • Collaborates with other Branch Coordinators to communicate business needs to Education Staff
    Check-in desk for teachers and students
  • Accepts and processes tuition payments made at the front desk, answers billing questions and prints out information as needed for customers
  • Registers students & updates student contact information 
  • Document piano tuning needs and other equipment/room issues 
  • Relays student cancellations/absences messages to faculty
  • Perform opening & closing duties for facility
  • Accept information for Student Performance Hours
  • Documents No Call/No Show activities – Asana & Email
  • Provide support for faculty (make copies of administrative documents, distribute mail, etc.)
  • Assists other staff with Collections/Administrative Holds on accounts
  • Assists Enrollment & Student Services team with re-registration process for classes and private lessons
  • Communicates reminders to faculty as needed for business operations
  • Edit and complete Daily Branch Report
  • Serve as a team member on the Education Team and contribute to the strategic planning for the Philharmonic
  • Other duties as assigned

  • Professional and engaging interpersonal skills
  • Knowledge of music/music education a plus
  • Willing to learn and grow quickly. Flexible and open to strategic experimentation
  • A reliable self-starter with the ability to roll up your sleeves and pitch in wherever and whenever necessary
  • Minimum 1 years administrative experience
  • Proficient computer skills including Microsoft Office
